VISA Information for either the IPMHVC or EIC

It is the responsibility of the attendee to determine if a visa is required to enter the United States.  The visa application process to enter the United States is now subject to greater degrees of scrutiny. You will need to apply for your VISA as early as possible.  This process can take anywhere from a few weeks to several months to complete – please be aware of specific application deadlines and requirements for your home country.  Helpful resources are available at the U.S. State Department and via the IPMHVC Visa Chair, Tao Shao, or the EIC International Travel Chair, Adam Balawejder.   Additional U.S. visa application information is available at VisaGuide.world.  If you determine a visa is required to attend the conference, you are strongly urged to start the process from your home country as soon as possible.  Significant delays are possible when processing visas from some countries.

Individuals who are required to have Letters of Invitation in order to obtain a travel visa should download and fill out the Letter of Invitation Request Form and email it to the IPMHVC General Chair (rsaethre@ieee.org) or the EIC International Chair (ABalawejder@curtisswright.com).

IPMHVC Visa Invitation Letter Process

The IPMHVC organizing committee is being as proactive as possible with providing visa invitation letters to non-U.S. attendees.  The process is as follows:

  1. Submit an abstract for consideration in the technical program.
  2. Within 3-5 days the abstract will be preliminarily reviewed by the Technical Program Committee for quality and is of interest to the 2020 IPMHVC program.  Note this evaluation does not guarantee a particular selection into a specific program session (i.e. oral/poster format), as the final determination is made at the time of the technical program meeting in March.
  3. If the abstract is determined to be acceptable to the program, the General Conference Chair will generate a visa invitation letter directed to the primary author of submitted abstract.  The goal is to deliver this letter within 7-10 days of abstract submission.
  4. Attendees should use this invitation letter to initiate the visa application process in their home countries.

If you are NOT PRESENTING, you MUST REGISTER for the meeting first, and then request an invitation letter by emailing the IPMHVC General Chair (rsaethre@ieee.org) or the EIC International Chair (ABalawejder@curtisswright.com) with the Letter of Invitation Request Form.
